    Job Description

    Job Title: Administrative Secretary

    Responsible To: Project Manager (Borders Youth Project)

    Salary: £14,982 to £16,305 (point 15 – 19) pro rata

    Working Hours: 25 hours per week.

    Special Conditions: no special conditions apply


    Job Summary - To provide administrative support to the Project Manager and allocated staff.


    Responsibilities

    · Answer incoming calls and greet visitors to the office.
    · General secretarial and administrative support including word processing, spreadsheets, database, photocopying, distributing documents and filing.
    · Assist with maintenance and updating of computerised and paper records and Reports.
    · Prepare and distribute incoming/outgoing mail.
    · Contribute to the organisation of events as required.
    · Attending & Minuting Meetings
    · Typing of correspondence, minutes, reports and other documentation.
    · Maintain the general office diary.
    · Order and maintain stationery supplies.
    · Undertake such other duties as may be require by your line manager.

    EducationQualifications Training Essential· Good secondary level education.Desirable· Administration qualification
    Experience Essential· Working as a member of a team.· Experience of reception/telephone work.· Experience of working in an office environment.Desirable· Experience of working in a Social Care Organisation.· Experience of working without ongoing managerial supervision.
    Technical Skills Essential· Excellent keyboard skills.· Experience of Microsoft Office.· Good communication skills.· Experience of managing databases.Desirable· Experience of desktop publishing and presentation packages.
    People Skills Essential· Ability to get on well with people from a range of backgrounds by exercising tact and diplomacy.· Ability to prioritise work.Desirable· Flexibility
